Personal data we process
Domaine Polleur processes your personal data because you use our services and/or because you provide it to us yourself.

- Bank account number (via our payment provider if booking directly online)

- Other personal data you actively provide, in correspondence and by telephone

Special and/or sensitive personal data we process
Our website and/or service does not intend to collect data on website visitors who are under the age of 16. Unless they have parental or guardian consent. However, we cannot verify whether a visitor is older than 16. Therefore, we encourage parents to be involved in their children's online activities in order to avoid collecting information about children without parental consent. If you believe that we have collected personal information about a minor without such consent, please contact us at seeyou@polleur.be and we will delete this information.
For what purpose and on what basis we process personal data
Domaine Polleur processes your personal data for the following purposes:
- Handling your reservation and possible payment (basis: agreement)
- Sending our newsletter (basis: agreement (customers) or consent)
- Calling or emailing you when necessary to perform our services (basis: agreement)
- Responding to a message via our contact form (basis: agreement)
- Domaine Polleur analyzes your behavior on the website in order to improve the website and tailor the offer of products and services to your preferences (basis: consent).
- Domaine Polleur also processes personal data if we are legally required to do so, such as data we need for our tax return.
More information on the use of personal data
Newsletter
E-mail addresses used to make a booking are added to our e-mail database. Also if you actively subscribe to our newsletter your e-mail address will be added to this database. We will send these addresses a digital newsletter once a month. You can unsubscribe at any time using the unsubscribe link at the bottom of this newsletter.
If you fill out a reservation form or request a quote, you can specify whether we can add your email address to our database.
There is a Facebook pixel on our websites. Hiemee allows us to measure ad conversions. This means that we can measure whether clicking on one of our Facebook ads has led to an action on our website (such as a reservation or subscription to the newsletter). This is done completely anonymously; we cannot trace this data back to a specific action taken by a particular person.
It also allows us to show ads to individuals who have visited specific portions of our websites, but we do not currently use this capability. Thus, we do not use visitor data to target advertising content.
If you have a Facebook account, you can manage your preferences regarding which ads you see and why. See your advertising preferences. For everyone (even if you don't have a Facebook account), you can also manage your preferences regarding cookies in the settings of your mobile device or through youronlinechoices.com or our cookie statement page.
We use Google Analytics to measure website statistics. Your IP address is included, but cannot be viewed by us. We do not give Google permission to share this data with third parties. We have also entered into a processing agreement with Google.
In addition, with your active consent, we may collect some data from you (via cookies) to show you relevant ads in the future, if necessary. This is information about which pages you have visited and whether or not you have made a reservation.
Automated decision-making
Domaine Polleur does not make decisions based on automated processing about things that can (significantly) affect individuals. These are decisions that are made by computer programs or systems, without a person (eg an employee of Domaine Polleur) between them.
How long we keep personal data
Domaine Polleur will not retain your personal data for longer than is strictly necessary to fulfill the purposes for which your data is collected. We use the following retention periods for the following (categories) of personal data:
- Personal and booking information: 7 years (legal retention period for our accounting records).
- E-mail address: for as long as you want to receive our newsletter. When you unsubscribe, your e-mail address will be kept in the archive of our e-mail program, so we cannot accidentally add you back to our list. If you want to be removed completely, please contact us.
- Other personal data you provide by emailing us or using the contact form on the website: as long as needed to properly answer your question or up to 1 year.
- Data about your activities on our website: up to 1 year, or depending on the cookie.
Sharing personal data with third parties
Domaine Polleur shares your personal data with several third parties as necessary to execute the agreement and to comply with any legal obligation. With companies that process your data on our behalf, we conclude a processor agreement to ensure the same level of security and confidentiality of your data. Domaine Polleur remains responsible for this processing. In addition, Domaine Polleur provides your personal data to other third parties. We only do this with your express permission. This includes, for example, Google and Facebook to show you relevant ads.

To make sure that the request for inspection is made by you, we ask you to send a copy of your ID with the request. In this copy, erase your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.

Domaine Polleur takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification.
